RingBack ("we", "us", or "our") provides an automated missed-call text-back service for home service businesses (plumbing, HVAC, electrical, roofing, and pest control). This page explains what information we collect, how we use it, and who we share it with.
Information We Collect
From business owners who sign up for RingBack, we collect: business name, trade, email address, the phone number calls are forwarded to, cell phone carrier, business hours, and billing information (handled directly by Stripe — we never see or store your full card number).
From customers who text our number after a missed call, we collect: their phone number, service address, a description of their issue, urgency level, and preferred callback time. This information exists to generate a lead summary for the business that missed their call.
How We Use Your Information
Business owner information is used to operate your RingBack account: provisioning your number, forwarding calls, running your dashboard, processing billing, and sending you account-related texts (like setup instructions or lead alerts).
Customer (lead) information collected through the SMS bot is shared only with the specific business the customer contacted — never sold, shared with other businesses, or used for advertising.
Text Messages & Calls
By signing up for RingBack, you consent to receive automated text messages and phone calls related to your account, including setup instructions, missed-call lead alerts, and service notifications. Message and data rates may apply. You can reply STOP to any RingBack text to stop receiving messages, or contact us to close your account entirely.
Customers who text the RingBack number after a missed call can also reply STOP at any time to opt out of that conversation.
Data Storage
Account and lead data is stored securely in Supabase (our database provider). We do not sell, rent, or trade personal information to third parties.
Third-Party Services
RingBack relies on the following third parties to operate the service, each with their own privacy policy:
- Twilio — sends and receives calls and text messages
- OpenAI — processes the text of customer replies to extract job details (address, issue, urgency)
- Supabase — stores account and lead data
- Stripe — processes subscription billing and payment information
- Vercel — hosts the RingBack website and application
Data Retention
We retain account and lead data for as long as your account is active, and for a reasonable period afterward for billing and legal record-keeping. You may request deletion of your data at any time by contacting us, subject to any records we're required to keep by law (such as billing history).
Children's Privacy
RingBack is a business tool intended for use by adults operating a home service business. It is not directed at, and we do not knowingly collect information from, children under 13.
Changes to This Policy
We may update this policy as RingBack changes. We'll update the "Last updated" date above when we do. Continued use of RingBack after a change means you accept the updated policy.
